The information we collect
Information you give us. If you send an enquiry through our contact form, book a call, apply for a role or email us, we collect what you provide — typically your name, your company, your work email address and the contents of your message or booking.
Our contact form works differently from most. Rather than sending your message through a form service, it opens your own email application with the message written out, so you send it yourself. That means we receive it as an ordinary email, and no copy of what you typed reaches us unless you send it.
Information collected automatically. Our hosting provider processes the technical information every web request carries, such as your IP address and browser type, to serve the site and keep it secure. We also measure how the site is used, with an analytics tool called PostHog. Until you accept cookies it runs in a mode that stores nothing on your device and cannot recognise you across visits; if you accept, it sets cookies and can. Either way we do not use it to work out who you are, and you can change your answer at any time from 'Cookie settings' in the footer — see our Cookies Policy for the detail.
We do not knowingly collect special category (sensitive) data through this website, and the site is not directed at children under 18.
How we use your information, and our legal bases
- To answer your enquiry and arrange scoping calls — on the basis of our legitimate interests in responding to people who contact us, and of taking steps at your request before entering into a contract.
- To assess an application for a role — on the basis of our legitimate interests in recruiting, and of taking steps at your request before entering into a contract of employment.
- To keep the site available and secure and to prevent abuse — on the basis of our legitimate interests.
- To measure how the site is used, so we can improve it — on the basis of your consent where cookies are involved, and otherwise of our legitimate interests in understanding what people come here for, using measurement that stores nothing on your device.
- To comply with the law — where we are under a legal obligation to retain or disclose information.
We do not use your information to make automated decisions about you, and we do not profile you.
Who we share it with
We share personal data only with providers who process it on our behalf under contract, and with other companies in our group where that is needed to run our business. For this website those are:
- Google — appointment scheduling. Our Book a call page embeds Google Calendar's booking tool, so the time you pick and the details you give it are processed by Google. See Google's Privacy Policy.
- PostHog — website analytics, processed on our behalf on their EU infrastructure. See PostHog's Privacy Policy.
- Our website hosting provider — serves the pages and keeps request logs for security and performance.
- Our email provider — carries the enquiries and applications you send us.
The short version
We do not sell your personal data, and we never share it for advertising. There is no advertising or marketing technology on this website at all.
We may also disclose information where the law requires it, or in connection with a merger, acquisition or sale of assets.
International transfers
Some providers process data outside the UK and the EEA — Google's appointment scheduling, for example, may transfer data to the United States. Where data leaves the UK or the EEA we rely on appropriate safeguards, such as the UK International Data Transfer Agreement and its addendum, or the EU Standard Contractual Clauses.
How long we keep it
We keep enquiry and booking information for as long as we need it to deal with your request and for our ordinary business records, and in any case no longer than six months after our last contact with you, unless a longer period is required by law or the enquiry becomes a certification engagement — in which case the certification agreement's retention terms apply. Applications for roles are kept for twelve months unless you ask us to remove them sooner.
Your rights
If you are in the UK or the EEA you have the right to ask for access to your personal data, to have it corrected or erased, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on your consent you can withdraw it at any time, without affecting processing already carried out. To exercise any of these, email team@calibre.ac.
If you have a concern we have not resolved, you can complain to the UK Information Commissioner's Office at ico.org.uk. We would rather hear from you first, so we get the chance to put it right.
Changes to this notice
We may update this notice from time to time. The date at the top shows when it last changed, and material changes will be reflected on this page.
